Clerical - English Language Studies (Frontline Office Assistant)
Greet community members looking for information and help them find answers and enroll in classes. The frontline office assistant for Workforce Partnerships works with the Providence office team to support class registration and resolve registration issues. Assistant also collaborates with frontline staff on all CCRI campuses to answer calls to Workforce offices.
- Serve as first point of contact for customers, screen telephone and personal
- callers, respond to voice mail and email messages
- Keep up to date with knowledge about workforce programs and registration processes
- Share program information in English and Spanish by telephone, in person, and electronically
- Register students enrolling in Division of Workforce Partnerships (DWP) open enrollment and contract classes using Augusoft
- Assist with monitoring the enrollment, scheduling, and cancellation of classes, and contact registered students in case of cancellation, class delays and payment issues
- Maintain files and secure records using paper and digital methods
- Resolve problems that may arise regarding enrollment, scheduling and record keeping
- Use courteous and responsive communication to work collaboratively with others in a diverse and inclusive environment
- Participate in staff development activities offered through CCRI and/or the Division
- Schedule and coordinate meetings and appointments
- Use copy machine, facsimile and other office equipment to support educational operations
- Supervise student aides
- Perform other duties as assigned
Minimum Requirements:
- High School Diploma or Equivalent
- Bilingual (English and Spanish) required both spoken and written
- Ability to provide customer service with appropriate communication and interpersonal skills
- Accuracy and precision in data reporting and organization
- Working knowledge of digital file management, file sharing, word processing, spreadsheets, and Outlook
- Ability to work independently in a busy environment
