Project Coordinator (LMS)
JOB SUMMARY
The project coordinator is responsible for coordinating, tracking, and reporting on delivery of project(s). The role serves as the central point for schedule tracking, risk management, governance support, and cross‑functional coordination across departments, and the external vendor(s).
The coordinator’s focus is on project execution and control by ensuring milestones, dependencies, and escalation paths are clearly documented and followed as the institution moves through a large‑scale, time‑bound transitions and projects.
This position is limited to a one year appointment subject to renewal.
DUTIES AND RESPONSIBILITIES

Project Coordination
Work cross‑functional across Information Technology, Online Learning & Technology (OLT), Academic Affairs, the IT Help Desk, and the external vendor (Anthology/Blackboard)
Support and assist project lead(s) and/or project manager(s) on the Blackboard Ultra migration project
Coordinate project governance meetings, including agendas, notes, and action item tracking
Create and maintain the project risk and issue log, tracking mitigation actions provided by technical and instructional leads.
Monitor alignment between vendor delivery timelines and CCRI planned, approved openings of Ultra access
Maintain the integrated project schedule across all migration phases and cohorts.
Identify schedule risks early and escalate when milestones are at risk.
Support phased, rolling‑wave planning as the project scales from Spring to Summer and Fall cohorts.
Communication/Collaboration
Coordinate the timing and sequencing of project communications to ensure alignment with the approved schedule.
Work with Marketing and Communications to prepare updates related to access milestones and major project phases.
Ensure consistency of project information shared across IT, Academic Affairs, OLT, and support teams.
Compliance & Project Tracking
Serve as the primary project‑level contact with Anthology/Blackboard for tracking milestones, deliverables, issue escalations, and change coordination during the migration.
Track key dependencies such as faculty access dates, student access dates, remediation windows, and support readiness.
Track confirmation of approved high‑level LMS configuration changes as implemented by designated technical leads.
Document project decisions, approvals, and milestone confirmations for auditability and leadership reporting.
Manages the project’s SharePoint workspace as the single source of truth, coordinating updates to reflect current status, milestones, risks, and decisions.
Data & Reporting
Produce regular status reports for IT leadership, Academic Affairs leadership, and the Project Management Office.
Translate operational tracking data (conversion progress, remediation status, training participation, support readiness) into concise summaries for decision‑makers.
Highlight emerging risks, cross‑team dependencies, and required leadership decisions.
Department Support
Coordinate with the IT Help Desk and OLT to track readiness of Tier 1 and Tier 2 support activities.
Track deployment status of student orientation and support resources ahead of access milestones.
Other duties as assigned
REQUIRED QUALIFICATIONS:
Bachelor's degree in project management, information technology, instructional technology, communications, or a related field.
2 years of experience in a project coordinator, project analyst, or similar cross‑functional role.
Demonstrated experience coordinating work across IT and academic environments.
Strong written and verbal communication skills, including executive‑level reporting.
Experience working with service desk systems and knowledge bases or similar systems, preferably TeamDynamix.
Strong organizational skills and attention to detail.
PREFERRED QUALIFICATIONS:
Experience supporting LMS implementations or large‑scale system migrations.
Experience working in higher education with shared governance structures.
Formal project management training or certification (CAPM, PMP, or equivalent)
